Welcome to us

The Quality Department is responsible for archives, registration, and committee processes. We coordinate the administration's work with planning and follow-up in ILS and stimulate innovation and development in operations. The department is also responsible for IT issues, procurement, and purchasing, as well as security and safety work, citizen influence, and civil society issues.

As a registrar, you will be part of the secretariat unit, which is one of the department's five units. We are a small unit of seven people, including the unit manager, working with archives, registration, and committee administration. As the current registrar is retiring, we are looking for a new person who wants to become part of our team and a key person in ensuring that public documents are handled correctly and that the principle of transparency is upheld. Here you will support both the operation and the public with your expertise, structure, and service mindset.

Your role

As a registrar with us, you have an important function where you, together with colleagues in the unit, are responsible for managing the district's overall registration. Your main tasks are to:

  • Register cases and incoming and outgoing documents and distribute cases to case handlers
  • Be responsible for the administration's registrar mailbox
  • Handle the release of public documents
  • Be an object specialist in the case and document management system eDok (Platina)
  • Review and ensure the quality of registered data in the case management system
  • Actively take initiatives and participate in the development of administrative routines
  • Work together with the committee secretary to provide unified administrative support regarding the committee and social delegation.
  • Be the secretary at meetings with the committee or social delegation when needed
  • Be an expert and offer support and training to managers and employees on issues related to information management.

Your skills and experience

We are looking for you who have:

  • Relevant post-secondary education in, for example, archive and information science
  • Good knowledge of public access and confidentiality issues
  • Current experience as a registrar in public administration
  • Experience working in document and case management systems, preferably eDok (Platina)
  • Very good knowledge of Swedish in both speech and writing.

It is an advantage if you have:

  • Education in archive and information science, political science, or law
  • Experience from municipal operations
  • Experience as a committee secretary or a similar role
  • Experience in confidentiality assessment.

The work needs to be performed thoroughly and with a good understanding of the quality requirements that apply.

Your ability to adapt communication to the needs of different individuals as well as being solution-focused and clear in your message is also central to ensuring that all expectations are clear and that information reaches its destination.
